Below is important information for your poster presentation at the ISCCM conference. Please read carefully.

Before the Conference

Conference Program
The final program will be published on the website in early September.
Your Rapid-Fire Poster pitch time as well as your poster presentation time will be listed in the program. These cannot be changed.

Poster Sessions
– Even-numbered posters (not abstract numbers) present on Monday during Poster Session I (15:00 – 15:45)
– Odd-numbered posters (not abstract numbers) present on Tuesday during Poster Session II (14:45 – 15:30)

Abstract Book
Your name and poster title will be published in the abstract book.

Registration
All presenters must register for the conference by November 1.
Full registration includes:
– Admission to the ISCCM Scientific Program and Exhibition
– Coffee and lunch breaks
– Welcome Reception
– Conference Dinner
– Closing Ceremony

Travel
The conference is held at MECC Maastricht.
For travel info, visit the official conference website.

Visa Requirements
All delegates must have a passport or EU ID card. Some countries may require a visa to enter the Netherlands.

 

Preparing Your Presentation

Language
All presentations and questions must be in English, the official language of the conference.

Presentation Duration
Each pitch has a total duration of 3 minutes.
There is no Q&A. Please do not exceed the time limit. The schedule will be strictly followed.

Slides and Format
Please bring your pitch on a USB flash drive.
Maximum of 3 slides allowed per presentation.
Use PowerPoint in 16:9 aspect ratio if possible.

Accepted file types:
– PPT, PPTX, PDF
– MP4, AVI, MPG, WMV
– MP3, WAV, WMA
– JPG

If your presentation includes video, audio, or animations:
– Save each file separately
– Test all media in advance

For Mac Users
– Use common fonts like Arial, Times New Roman, or Verdana
– Save images as JPG (not TIF, PNG, or PICT)
– Use standard video formats like AVI, MPG, or WMV (not MOV)

PREPARING YOUR RAPID-FIRE POSTER PITCH

Arrival
Pick up your badge at the registration desk.

Speaker Ready Room
A quiet space is available for preparation.
– No AV equipment provided
– Bring your own laptop if needed
– Free Wi-Fi is available

Setup
Make sure your presentation is loaded in your session room at least 20 minutes before your presentation.
Technicians will be available to help.

AV and Equipment
– Use the computer provided in the room
– Lectern, microphone, and internet are included
– Contact the conference team if you need special equipment

Wi-Fi
– Free Wi-Fi is available at the venue
– Suitable for browsing and email
– Not suitable for large downloads or uploads

Lunch
– Lunch is included for all participants and speakers
– Pick up lunch at the distribution points in the lobby

PREPARING YOUR POSTER PRESENTATION

Prepare and print your poster before arriving. The conference does not offer printing services.

Language
All posters and discussions must be in English.

Poster Format and Dimensions
– Posters must be in portrait orientation
– Format: A0 size (Width: 84.1 cm / 33.1 in, Height: 118.9 cm / 46.8 in)
– One poster per board

Important Guidelines
– Add your poster ID number (e.g., “#8”) in the upper right corner
– Include the title, authors (as submitted), and contact info at the top
– Use bold text and visuals readable from 2 meters
– Materials for hanging posters will be provided on-site
– Staff will help locate your assigned board
– The organization will number the boards. Do not put your presentation number on your poster
– Check the website to match your poster number with the correct board

 

DURING THE CONFERENCE

Arrival and Setup
Pick up your badge at the registration desk.
Refer to the poster list to find your board number.
Pins will be provided to hang your poster.
Set up your poster before the start of the first conference day.

Rapid-Fire Poster Pitch

Speaker Ready Room
A quiet room is available for preparation.
– No AV equipment is provided
– Bring your own laptop if needed
– Free Wi-Fi is available

Presentation Setup
Bring your presentation on a USB stick.

Provide your presentation to the organization on the morning of your pitch at 10.00hr at the latest to be taken along in the pitch-session.
Be in the presentation room at least 15 minutes before your session.
Technicians will be available to assist.

Meeting Room and Technical Info
– You may not use your own laptop
– A provided laptop is connected to the screen and audio
– Lectern, microphone, internet access are available
– Contact the conference team if you require additional equipment

Poster Presentation
You are expected to stand by your poster during the scheduled session.
Posters must be removed before the end of the conference.
Any posters left behind will be removed and not saved.

Wi-Fi
– Free Wi-Fi is available at the venue
– Access code will be provided
– Suitable for email and browsing only, not for large uploads/downloads

Lunch
– Lunch is included for all participants and poster presenters
– Pick up lunch at the distribution points in the Lobby
